Registration Supervisor - Hume Internal Candidates Only
Vision for the Role: The Registration Supervisor provides comprehensive administrative, clerical, and customer service support for camp and guest group registrations. This role requires professionalism, strong organizational skills, and the ability to work effectively in a fast-paced environment. The Registration Supervisor serves as a primary point of contact for guests, staff, and departments, ensuring a smooth registration and check-in process.

The Role:
Guest & Registration Support
- Provide professional, efficient, and friendly service to all guests via phone, email, and in person.
- Manage guest group registrations, including:
- Responding to inquiries within 24 hours.
- Sending reminders and follow-up emails regarding payments, cabin lists, balances, promotional materials, and insurance requirements.
- Assigning housing and creating event data sheets (housing allotments, schedules, activities, meals, etc.).
- Preparing retreat packets with keys, schedules, and balances due.
- Managing payments, cancellations, refunds, and policy adherence.
- Ensuring medical forms and terms/conditions are complete before arrival.
- Entering data into the Circuitree database.
- Support successful completion of camp registrations.
- Collaborate with departments (Sales, Food Service, Accommodations, Activities, Retail, Operations, Program, etc.) to meet guest needs.
Team Leadership
- Lead and support up to 5 full-time and 10 part-time staff.
- Delegate tasks effectively without micro-managing.
- Assist with interviewing and hiring seasonal staff.
- Train new team members as needed.
- Foster a positive, supportive work environment.
Communication & Coordination
- Serve as the main point of contact for registration-related questions from staff and guests.
- Communicate regularly with other departments about promotions, housing, calendar events, and guest needs.
- Represent the organization with professionalism and warmth during check-ins and guest interactions.

Skills & Experience
- 1–2 years of administrative assistant or related experience required; bachelor’s degree preferred.
- Strong organizational and relational skills.
- Proficiency in Google Docs, Sheets, and database management systems.
- Comfortable with general office technology (copiers, scanners, fax machines, phones, radios).
- Excellent verbal and written communication skills, with professional writing ability.
- Ability to manage multiple priorities in a fast-paced environment with frequent interruptions.
- Typing speed of ~45 WPM.
- Customer service and/or sales experience preferred.

- Friendly, flexible, and proactive with a high level of professionalism.
- Able to work independently and as part of a team.
- Strong time management and problem-solving skills.
- Ability to handle high workloads with resilience.
Physical Requirements:
- Sit for extended periods.
- Lift and/or move up to 25 pounds.
- Live and work in extreme weather conditions, at high altitude, and in small living quarters.
- Minimal overnight or out-of-town travel may be required.
